This is particularly useful in understanding whether you are making the best out of the platform’s capabilities and gaining insights about your performance against your goals. Reports function in the Office24by7 platform lets you create and customize dynamic reports in order to gather a deep understanding about the quality of your services.

Let’s explore the ‘Lists & Views’ panel in detail. 

What are Reports?

Reports are analytical tools provided by Office24by7 that provide valuable insights and information about how they are performing with the system’s modules and objects. It also gives them perceptions about areas for improvement and action pointers towards their goals. These customizable, dynamic reports allow businesses to evaluate the effectiveness of their service delivery offering detailed data on various aspects of their goals, opportunities, and other KPIs. Reports enable organizations to gain a comprehensive understanding of their operational efficiency, identify areas for improvement, and make data-driven decisions to enhance their overall service quality. 

Functions of Creating Reports

Creating a report has several important functions:

Performance Analysis

Reports allow users to analyze their performance against the organizational goals and KPIs. This provides a clear picture of progress and areas needing improvement.

Custom Insights

Each business organization has unique needs. The reports in Office24by7 platform can be customized to focus on specific metrics or key areas where you think you need improvement.

Goal Alignment

The reports feature in our platform helps you generate reports on regular intervals, thereby aligning your daily operations with long-term business objectives and measuring the progress.

Identifying Opportunities

Businesses always need to be on the lookout for new growth opportunities to expand their market. Comprehensive data analytics through our reports can help you identify the right opportunities at the right time.

Resource Allocation

Reports can show you where you excel and where you lack. This can further assist you in taking informed and data-driven actions in allocating resources to key focus areas. 

Types of Reports

In Office24by7 platform, you can find two main kinds of reports: Standard and Custom reports. Let’s look into the details of each of these reports.

Standard Reports

Standard reports refer to the specific report templates created and saved by the admin of the organization. Any user in the organization can view these reports, but their access to edit them will be limited. The admin can create standard reports based on any module or object in the system. While accessing the ‘Reports’ tab, any user can go to the ‘Standard Reports’ menu and see all the available standard reports created by the admin. However, the privileges to modify these reports lies only with the admin.

To view the standard reports:

Step 1: Go to the ‘Reports’ tab and click the drop-down button on the top-left of the screen. From the subsequent drop-down menu, select ‘Standard Reports’.

Step 2: Click the ellipsis icon (…) against the specific report in the settings column, and select ‘View’.

Custom Reports

Any user can create a report and save them in their platform view. These reports will be called custom reports. They can be created to evaluate the performance based on any object or module. Creation of custom reports are easy and they can be customized as per the requirements of each individual user. They provide deeper insights into the specific KPIs or focus areas where the user is looking to improve.

To view a custom report:

Step 1: Go to the ‘Reports’ tab and click the drop-down button on the top-left of the screen. From the subsequent drop-down menu, select ‘Custom Reports’.

Step 2: Click the ellipsis icon (…) against the specific report in the settings column, and select ‘View’. 

How to Add Reports?

Let’s take a look at how to create reports easily.

Step 1: Once you are in the ‘Reports’ tab, click the ‘+ Add Reports’ button.

Step 2: On the left side of your panel, you will see a drop-down menu which contains all the services you have subscribed to. Select the service based on which you want to create the report from the drop-down.

Step 3: Once you select a service, you will see all the fields below it. Click and drag the fields you want to include in the report to the ‘Display’ row in the workspace. If you want to change the order of the fields, you can click the double vertical ellipsis icon (፧፧) and rearrange their position.

Step 4: If you want to filter the data in a particular field based on any specific condition, simply click the filter icon near the field name and apply the filter condition.

Step 5: Click the save button to save the report. 

Grouping Reports

You can also group reports in order to identify the common values in the report.

Step 1: Click the ‘Group’ icon on the top right corner of the panel. This will open the ‘Group settings’ pop-up box.

Step 2: Select the columns that you want to group in this box and click ‘Submit’.

You will now see a grouped report with the values in the columns that you selected. 

Schedule Reports

You can also schedule reports for specific time intervals with the ‘Schedule’ function in Office24by7 platform. This feature allows you to access reports on certain services at regular intervals, without manually creating them.

Let’s explore how you can leverage the ‘Schedule’ function.

Step 1: Click the ‘Schedule’ button on the top-right corner of the panel.

Step 2: Select the service based on which you want to create the report. Select the fields which you want to display in the report.

Step 3: Choose the time interval in which you want to execute the reports (daily, monthly, once per week, twice per week, etc.). Also set the report generation time and select the email address which should be notified when the report is generated.

Your report has been scheduled successfully and will be generated at the time intervals you have assigned in the settings.
